Council Meetings are held in the Council Chambers at the Vanderhoof Municipal Office – 160 Connaught Street, Vanderhoof, BC. Meetings begin at 5:30 PM. Regular Meetings are generally held on the second and fourth Mondays of each month; the Committee of the Whole Meetings are also held on the third Monday of each month (some exceptions apply – see the 2022 Council Meeting Monthly Calendar below).

The public is welcome to attend all open Council and Committee meetings.

Meeting Agendas & Minutes

An agenda is a list of meeting activities, listed in the order in which they will be discussed, beginning with the call to order and ending with adjournment. Meeting agendas and their information/ report packages are prepared and posted online no later than the Thursday afternoon before Council and Committee of the Whole meetings. All members of the public can view all upcoming and previous council/committee meeting agendas on our Vanderhoof Civicweb.
During non-Covid times, hardcopies of meeting agendas are also available at the Municipal Office the Friday afternoon before a scheduled meeting.
Council / Committee Meeting Agendas

Meeting minutes are the written record of everything that had happened during a meeting. Minutes are used to inform people who didn’t attend the meeting about what happened, or to keep track of what was decided during the meeting so that Council can revisit it and use it to inform future decisions.
The minutes will be prepared and available to view to the public after each meeting. All members of the public can view previous meeting minutes through our Vanderhoof Civicweb Document Centre.

Council Meeting Recordings

All open Council meetings are recorded and uploaded for public viewing no later than 2 days after the meeting. Videos will be uploaded to our Youtube Channel and will be available with links to the corresponding agenda and minutes on our Council Meeting Videos webpage.

Presenting / Requests to Mayor & Council

From time to time, members of the public/ residents will wish to present to or make requests of the District of Vanderhoof Mayor & Council. The list below will have information about the most common requests.

General Request of Council

General requests for inclusion on Council meeting agendas is an alternative to speaking at a Council meeting.

General requests of Council must be made by submitting the “General Request Form”. Requests must be received by 12:00 PM on the Wednesday BEFORE the Regular Council meeting you would like it to be presented. The best way to ensure your request is submitted on time is through email to the Corporate Office.

Note: Failure to meet this submission deadline may result in the request being scheduled for the next Regular Council meeting. Requests become public documents and are reviewed by Council at each meeting and published on the District’s CivicWeb.

General Request form

Delegations

A delegation is a presentation by a person or persons on behalf of an organization or association wishing to appear before Mayor and Council. Members of the public can present to Council at Regular Council Meetings, pending approval by the Corporate Officer.

All requests to the Corporate Officer must be made in writing using the Delegation Request Form below. Please download the form before filling it out. After completing the form, please email it to the Corporate Officer. You will be contacted by Staff to confirm your presentation date and time.

Resolution or Letter of Support Request

Resolutions or Letters of Support are commonly required for grant applications. Individuals, non-profits, or organizations can request these from the District’s Mayor and Council through our “Resolution of Support or Letter of Support Request Form.”

When a request is received, it will be added to the upcoming Regular Council meeting agenda. Requests must be received by 12:00 PM on the Wednesday BEFORE the Regular Council meeting you would like it to be presented. The best way to ensure your request is submitted on time is through email to the Corporate Office.

Note: Failure to meet this submission deadline may result in the request being scheduled for the next Regular Council meeting, which may be past the grant application deadline.

Resolution of Support/Letter of Support Form

Speaking at meetings: when you attend a Regular Council meeting and wish to make a comment on an agenda item, please raise your hand during the “Public Questions on Agenda Items” section of the agenda. This is the only opportunity during the meeting for public comments or questions.


Public Hearings

Public Hearings: Public Hearings are a formal process held by Council to receive public input on Zoning or Official Community Plan amendments. In accordance with the Local Government Act, any person who believes that his or her interest in property is affected by the proposed bylaw shall be given a reasonable opportunity to be heard. Public Hearings are advertised in the Omineca Express, posted on the District website and social media accounts, and at the Municipal Office.
